MINUTES OF COUNCIL MEETING held on
Wednesday 23rd November 2022 at Leonay Golf Club.
1.Welcome and Apologies
Moved by Les Knox, seconded by Noel B and carried that the same apologies and attendances as the AGM be accepted. Jeff Donley (Springwood) late arrival.

Correspondence File has been emailed to all.
Judy asked about accepting membership for NSWVGA from ungrouped clubs.
Les commented that much work still be done on Constitution. No decision from NSWVGA yet.
Glenmore unable to host Interclub game. David Craig-Williams spoke of frustration and difficulty with communicating with the owner. Members are leaving because there is nowhere to eat/drink/sit.
Les offered to meet with David and owners.
Noel: Letters were signed by clubs when they agreed to join the Association. One of the conditions was to host Interclub event.
Most agreed that their players would agree to play under circumstances available.
4. Finances:
Financial Statement for September and October and 12month summary has been emailed to all.
5. Adoption of Council Minutes 23rd September 2022
Moved by Mark Mostyn, seconded by Russell Cruickshank and agreed by all that the Minutes of the Previous Meeting were a true and accurate record.
6. Matters arising from Council Minutes 23rd September 2022.
Mick Toohey gave further explanation wanting full year’s membership for a Wallacia member.
Les: This has been discussed before, Constitution says only if joining after 1st October membership carries through to end of next year. Can’t make rules for special people.

7. Playing Dates 2023
Glenmore’s Interclub event is in March. Leave date as is now. David Craig Williams said that they will do their best to organize the day.

8. Meeting Dates for 2023.
Moved by Russell Cruickshank, seconded by Peter Watson and agreed by all that these dates be adopted.
9. Interclub events 2022
Club of the Year. One event was not possible (Glenmore H V) so it had been decided that Club of the Year be cancelled. It is only held within our Association.
· Player of the Year. Medals and vouchers come from NSWVGA. There has been some discussion that Glenmore players would get an advantage as they could have played 7 games. Agreement in the room that as only 3 best scores are used allows all players plenty of opportunity.
Moved by Peter Watson, seconded by Russell Cruickshank and agreed by all to continue with the Player of the Year award even though one event has been cancelled.
· Leonay Interclub Report. Report has been circulated. Bruce Baker commented that numbers were down a little, but this may have helped with the speed of play. Dunheved, Springwood, Leonay and Penrith: computer program needs to be modified so correct information is sent to members.
· Wallacia Interclub Report. Results were given out at the meeting. Mick had some issues with late withdrawals. Not the organizers job to find reserves, 24hours notice otherwise money is forfeited.
Suggestion that all money be paid by EFT, easier to account for payments. Russell responded that Penrith doesn’t have an account.
Noel: All clubs operate differently and under the rules of that club.
Kim: Complicated process to update Player of the Year.
· Dunheved Interclub Report. Results and report have been sent out. Paul was very pleased with the day.
Comments by Mark: Hold up at the 17thhole par 3. Paul responded that these were groups in carts who completed previous par 5 more quickly. Could look at placement in draw of walkers/carts.
Many players unfamiliar with course. Suggestion from Kim: carts are grouped in front nine & back nine. Club member leads them out showing where individual holes are.
· Penrith Interclub Event. Russell, everything ready for 6th December. No option to pre-order food. Order from Bistro when finished. Private carts free.
10. Western Sydney Vets Open Day to be held at Richmond Golf Club on January 23rd 2023.
Presentation by Noel and Judy, including Information Sheets, Entry Forms and posters.
These will be available on WSRVGA website and emailed to all Club Contacts. Noel asked for support from all clubs to promote Vets golf and particularly Interclub games.
11. Membership
Judy thanked those clubs who have sent membership lists and payments for 2023. Asked if the rest can be available asap. Membership cards for 2023 were distributed.
12. General Business
Springwood: Mark said there had been complaints that Vets had to pay $10 for own carts. Response from Les was that every club has its own rules eg Stonecutters don’t allow private carts.
He also had a suggestion that main points from a briefing be available on a card and given to each group.
Dunheved: Peter Watson asked about prizes at Interclub. All clubs, except Richmond, allow only one prize per player. 2B prize is the higher value and this led to difficulty when comparing with singles results. Look at making same prize value for each event.
Stonecutters: Kim concern with the calendar with the spare date being in November. Les hoped that this wouldn’t be an issue in 2023.
13.Next meeting will be Wednesday 1st February 2023 at Leonay Golf Club beginning at 2pm
Les thanked everyone for coming and for an incredible effort this year under very trying circumstances. He wished everyone a very happy and safe holiday period.
Noel responded by congratulating and thanking Les for his continued commitment to Vets Golf, taking on the position of President at three levels!
