3. Adoption of Council Minutes 7th February 2024.
Moved by Noel H, seconded by Russell C and agreed by all that the Minutes of the Previous Meeting were a true and accurate record.
4. Matters arising from Council Minutes 7th February 2024.
Les: Report back from earlier Executive Meeting re the WS Vets Open for 2025
A Format (Conditions of Play), including changes to prize money, will be sent out to all clubs.
Expressions of Interest will be sought from clubs before next meeting.
Focus will be on the individual player; therefore, you win the prizes you qualify for.
Moved by Kim and seconded by Noel H and agreed by all that the Minutes be adopted.
5. Correspondence.
Correspondence File has been emailed to all.
Judy: Information received re Club GRANTS. Decision this month. Not confident that we will be successful
NSWVGA has set up Finance Committee to help track income received.
NSWVGA also asking for submissions re using the membership website.
6. Finances.
Financial Summary of accounts for January- March has been emailed to all.
Bruce asked about the ‘affiliation’ paid to NSWVGA.
Judy – reflects the $5 fee for each new member that month.
Moved by Martin Berg and seconded by Bruce Baker and agreed by all that the Finance report be adopted.
7. Report from Interclub games:
• Richmond G C 20th February 2024
Report was read by Judy (copy attached).
Points of discussion – re care filling out entry forms with correct handicaps and GL numbers.
Really only GL numbers are needed as handicaps will be printed on cards.
Richmond recommended that there be no changes to teams once draw has been finalised.
Discussion was that it was preferable to fill a spot and easy to get a new card printed.
Bruce B mentioned the difficult pin placements at Richmond. Response from Chris Sharpe was that this would be noted for next year.
• Dunheved G C 19th March 2024
Report had already been circulated but Paul mentioned again the difficulty some people had filling out cards (using an X) or checking them.
They were disappointed with the number of meals ordered and that there 14 carts not used. Private cards may only be allowed when all club carts are used.
8. Interclub games
• Leonay G C 30th April 2024
Nomination sheets went out last Monday night (1st April)
Meals will be $15, 5 choices, ‘members lunchtime special’.
Only 29 carts available (3 per club). No cost for private carts.
2 grades to encourage more ladies to play.
• Springwood G C 31 May 2024
Information available at the moment - Meals $20 with 2 choices.
Bunkers out of play and preferred lies through the green. Other changes to be made to help with speed of play.
Comment from Peter Watson, preferred lies slow down play but only if your course is good enough!
• Stonecutters G C 23rd October 2024
The Interclub game will now be held on Wednesday 23rd October as it would have clashed with Richmond Vets Championship. Richmond very grateful.
9. Guidelines for Endorsed Events: Review of ByLaws
Copies of the Constitution and Bylaws are available on the WS website. Copies of ByLaws have been circulated.
Judy asked about # 2.3 point 2 & 3 . Following discussion, Noel H would put forward a reworded option.

10. Website and Result Sheet update: Peter Aroney
Peter explained to the meeting that he now has details of the website and costings (approx. $37/month for Go Daddy) and small fee for Domain name, although this has been paid for next 2 years.
Unfortunately, Peter now has some health issues, and it was unlikely he would be able to take over the website.
Les expressed his thanks to Michelle May for covering these costs up to now.
The Results Sheet: The idea was to get a one-page sheet that all clubs could use and show all results.
He has developed an Excel Macro spreadsheet; clubs only have to choose their variables and then build the result sheet.
2 clubs have already successfully used it (Richmond and Dunheved).
Peter will be in touch with clubs prior to their game and produce a standard spreadsheet for them.
All clubs indicated they had access to Excel.
Les thanked Peter and wished him all the best with his health in the coming months.
11. How do you run your Vets comp? Mark Mostyn
Mark thanked Richmond, Dunheved and Leonay for supplying information.
Currently Springwood have 9 hole shot gun start, with their green fees going to their committee. They only pay ‘starters fee’ and don’t use normal club booking site.
Mark to make recommendations to the Board.
12. General Business
Springwood:
Jeff Donley thanked those clubs that helped with donations/prizes towards their recent Hospital Golf Day.
Over $33,000 was raised.
Dunheved:
Paul asked if anyone had sent in ‘Sponsorship of Local Events’ forms. Several clubs had but Judy to send out form again with the minutes.
Membership:
Judy circulated membership numbers for current and previous 4 years. We are about 100 less than last year. Not expecting many more members to join now.
13. Next meeting will be on Wednesday 19th June 2024 at Leonay Golf Club beginning at 2pm.
